Privacy Policy

Who this applies to

This policy covers Zenviz’s marketing site and the Zenviz product itself. When a business signs up, that business (not Zenviz) decides what employee data it enters and who at that business can see it — Zenviz processes that data to run the product on the business’s behalf.

What we collect

Account & company data — the name, email and password (stored as a hash, never in plain text) of anyone who signs in, and basic company details like name and billing email.

Employee records a company enters — the things an HR system needs to run: role, department, compensation, bank details, and government ID numbers where required for local payroll (for example PAN in India). This is entered by that company’s own admins, not collected by us directly.

Product usage — attendance punches, leave requests, task activity and similar records, generated by using the modules a company has turned on.

Uploaded documents — files a company’s admins or employees upload, like ID proof, offer letters or policy documents.

How it's used

Solely to run Zenviz for the company that entered it — payroll runs, attendance tracking, approvals, reporting, and the other things the product does. We don’t sell data, and we don’t use one company’s data to build features for or profile another.

Data isolation between companies

Every record in Zenviz is scoped to the company that created it at the database level — no company can query or see another company’s data, and there is no shared or pooled dataset across customers.

Retention

Data is kept for as long as a company’s account is active. When an employee exits or a record is no longer current, Zenviz archives it rather than deleting it outright — payroll and compliance records generally need to survive an employee’s exit. A company admin can request deletion of specific data or full account closure by emailing hello@zenviz.app.

How it's protected

Password hashing, role-based access control checked on every request, an audit trail for sensitive actions, and scheduled, integrity-verified database backups. Full detail on the Security page.

Third parties we use

Transactional email (login links, notifications) is sent through Resend or SendGrid. Subscription payments are processed by Razorpay or PayPal — Zenviz does not store full card numbers; that happens on the payment processor’s own systems. Neither is given access to a company’s employee data beyond what a payment requires (name, email, billing amount).

Your rights

If you’re an employee at a company using Zenviz, that company controls your data and is the right first place to ask about it — most things (your own profile, documents, requests) are visible to you directly in the product. If you’re a company admin, you can export or edit your company’s data from within Zenviz, or email hello@zenviz.app for anything the product doesn’t self-serve.

Changes to this policy

If this policy changes in a way that matters, we’ll update the date at the top of this page. Continuing to use Zenviz after a change means you accept the update.
